Confidentiality is key

In this business, we take your trust seriously. Most people who are looking to change jobs have very good reasons for not wanting their boss or company to have the slightest inkling about this.

So, all of our calls and counselling sessions are, by necessity, strictly confidential. This includes not disclosing our client’s name, or even the fact that we are working together, to any third party, unless specific prior agreement has been made between us. We will however discuss our client’s details within the Flourish organisation, in order to maximise the help that we are able to give them.

The content of our sessions belongs to the client, who is free to save, record, distribute and discuss this with whoever they wish, if this is for personal use only.

Privacy Policy

Flourish Career Coaching is committed to complying with the terms of the General Data Protection Regulation (GDPR) and to the responsible and secure use of your personal data. Flourish has a legitimate interest in processing personal data to: a) provide career coaching services, and b) grow our business. The purpose of this statement is to let you know what personal information Flourish collects and holds, why we collect this data, how long it is kept, and your rights over it. Flourish is registered with the Information Commissioner’s Office (ICO), ref no ZB849449.

1. Information about you

1.1 We collect personal information from you when you enquire about our counselling services in order to set up a call or appointment. This information includes contact details, general location (although we do not usually request your home address), your availability, and your telephone number. This information is only held within the email and phone messages between us and is backed up on our CMS, Hubspot.

1.2 More detailed information that you give to us during your counselling sessions, such as work history, completed questionnaires and exercises, is stored in one of three places:

  1. In our cloud-based (OneDrive) virtual filing cabinet which is protected by encryption.
  2. On Hubspot, our CRM, where we retain only core data such as your contact details. We may use this to contact you in the future about services or events that we feel will interest you. If you wish to opt out of receiving these messages or be removed completely from our system then contact us on hello@flourish.co.uk.
  3. On our online portal Mural. Information on Mural is held for 2 years in case a client wishes to reaccess it, then it is deleted unless the client requests otherwise. Mural is a highly secure environment, and information is saved using only one first name. More details here: https://www.mural.co/security/overview.

1.3 Once a client finishes counselling, all digital data regarding their sessions is stored securely for up to 2 years and then deleted. Hard copies are not kept for longer than 3 months after the final session.

1.4 We do not collect any Sensitive Data about you. Sensitive data refers to data that includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data. We do not collect any information about criminal convictions and offences.

1.5 We do not knowingly collect data relating to children. If you are under 18, please do not submit any personal data to us.

2. Our use of this information

2.1 Your personal information will be used only to provide you with our services and to give you information relating to our services. We will not share your personal details with any other person or organisation without your knowledge and permission, unless there is a legal requirement, if there is a child or adult safeguarding issue, or a perceived risk of harm.

2.2 We may also, under exceptional circumstances, be compelled to share your contact details with IT providers, lawyers, accountants or government officials. If this is the case, we will inform you.

3. Payment information

3.1 All of our clients' bank details and other payment information is held by Xero. No other copies are stored. Details here: https://central.xero.com/s/article/Privacy-at-Xero

4. Security

4.1 We will take all reasonable precautions to prevent the loss, misuse or alteration of information you give us. If there is any possibility that your data may have been seen or handled by any third party, we will inform you immediately.

4.2 Communications in connection with this service may be sent by e-mail. For ease of use and compatibility, communications will not be sent in an encrypted form unless you require it and give us permission to communicate with you in that way. E-mail, unless encrypted, is not a fully secure means of communication. Whilst we endeavour to keep our systems and communications protected against viruses and other harmful effects, we cannot bear responsibility for all communications being virus-free.

5. Your individual rights

5.1 Under UK GDPR, you are entitled to request access to any or all of the records that we hold about you. You can request us to amend or delete your information at any time by emailing hello@helpmeflourish.co.uk.

5.2 You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) if you believe your data has been handled improperly. For more information visit: www.ico.org.uk.

5.3 We do not use automated decision-making or profiling as part of our services.

6. Cookies and website data

6.1 If you interact with our website, we may collect cookies or analytics data (e.g. via Google Analytics). This helps us understand how our website is used and improve your experience. You will be given the option to accept or decline cookies when visiting our site.
